A professional travel itinerary tells the traveller, day by day, where they will be, at what local time, who meets them and where, what is already paid for, and whom to call when something goes wrong. Below: what each day must carry, the rules on times and language that stop the usual mistakes, and a four-day itinerary laid out as tables you can copy into your own template.

## The itinerary is the traveller's paper, not the sales paper

Three documents describe the same trip, and each has a different reader.

- **The quotation** sells it, with prices, options and a date the offer holds until; the [day-by-day travel quotation](/blog/day-by-day-travel-quotation) covers how to build one.
- **The vouchers** are what suppliers honour, one per service. A hotel desk reads its [hotel voucher](/blog/what-a-hotel-voucher-must-show), not your itinerary.
- **The itinerary** is what the traveller reads after the sale to live the trip: the order of events, the clock, the meeting points and the phone numbers.

So the itinerary carries no prices and no options. Copying the quotation and deleting the prices is how a client ends up with "Hotel A or Hotel B" on day two. [Which travel document does which job](/blog/tour-voucher-hotel-voucher-itinerary) sets out the whole set.

## What every day must show

Each day is a block with the same parts in the same order, so a tired traveller finds the pickup time in the same place every morning.

1. **The day number, weekday and date in words**: "Day 2 · Friday 14 May 2027", never 14/05.
2. **A headline for the kind of day**: arrival, on to the next city, at leisure, departure, or your own title.
3. **Each service in time order, at its local time**, with a transfer listed before the hotel it drops them at.
4. **Where to be**: a meeting point a stranger can follow ("arrivals hall, exit 3, the driver holds a board with your name"), or a tour's pickup place and time.
5. **Who meets them**: the driver or guide, with a phone number, once you know it.
6. **What it is**: private or shared, the vehicle, how long, what to bring, the party it is booked for.
7. **What is included**: the meal plan in words, a lunch on a day trip, entrance tickets.
8. **The confirmation number**, or a plain "awaiting confirmation".
9. **Where they sleep tonight**: "Overnight at…" closes the day.

Two things belong on the itinerary even though you did not book them: the traveller's own flights and any hotel they booked themselves, marked as theirs, because your transfers hang on them. And keep the free days: "At leisure" and where they sleep, so nobody wonders whether a page is missing.

## Times: always the local time where it happens

Most itinerary mistakes are clock mistakes. The rules:

- **A time is the wall-clock time at the place it happens.** A 14:30 pickup in a city two hours ahead of your office is printed 14:30, never converted to your time or anyone else's.
- **Each end of a journey in its own local time.** A ferry that leaves at 11:00 and arrives at 13:30 may be a 90-minute crossing into the next time zone. Write "local time" where the zone changes, and "+1" when the arrival is the next day.
- **The pickup time is not the flight time.** Print both, labelled: "Pickup 10:15 for flight XX 456 departing 13:20". A traveller given one number will treat it as the other.
- **Dates in words.** 03/04 is the 3rd of April in most of the world and the 4th of March in some of it.

Then check the sequence: a pickup before the flight lands, a transfer on a different day from its flight, a night with no hotel between two stays. Each is easier to catch on a draft than in an arrivals hall.

## Around the days: the summary tables and the help block

Before the days, give the trip at a glance: its name, dates, nights, every traveller as named on the passport, the reference to quote when calling, and a row per day (where, what, where the night is). Then "Arrivals and departures": each airport run with its flight, pickup time and private or shared, which is what a traveller checks the night before flying.

After the days come two tables used on the ground. **Where you are staying** lists each hotel with its dates, room and meal plan, address, phone, check-in and check-out times and confirmation number: what a traveller shows a taxi driver. **Tours and tickets** gives the date, time, what was booked, for whom, and its confirmation.

Last, the help block: your 24-hour line first and largest, then a local line where a ground handler covers the destination, with its hours in local time. A traveller with a problem at midnight should not have to read the whole document to find it.

## Whose language, and whose brand

Issue the itinerary in the traveller's language, not your office's. Labels, weekdays and dates follow the reader; hotel names stay as the supplier spells them, traveller names as the passport does. Your own words, the opening note and day descriptions, are translated once and reused; if you later change the original, print the new original rather than a translation of words you no longer say.

When you are a DMC and the trip was sold through a partner agency, the traveller's itinerary can carry the agency's name and logo, with you as local assistance. A copy for a supplier who needs the whole programme, such as a guide running several days, carries no prices and nothing of the agency.

## Print, PDF and phone

The same itinerary is read four ways, and each needs one thing done right.

| Read as | What matters |
|---|---|
| Printed | A4, or US Letter where readers use it; page numbers; a day never split across two pages; your reference on every page |
| PDF by email | One file with the vouchers after it, so nothing is left in another email |
| On the phone | A link that opens without a login and always shows the latest version |
| WhatsApp group | One picture of the days and times, with no prices on it |

Whichever you send, re-issue after every change: a traveller holding the old printing goes to the old pickup time, and an old printing should say it has been replaced when anyone [checks it by QR](/blog/voucher-qr-verification). The [traveller's trip page](/blog/traveller-trip-page) goes further than a PDF: the same days on the phone, today marked.

## A four-day itinerary template you can copy

A couple, two cities, four days and three nights. Every name, number and time is illustrative; the square brackets are what you fill in. City B is one hour ahead of City A.

| [Hotel A] / [Hotel B] | [Phone] / [Phone] | Any time |

Notice what the template makes visible. The ferry is still awaiting confirmation, and the itinerary says so rather than leaving the box blank. Day 3 says "local time" because the clock moves. Day 4 prints the pickup and the flight as two times.

## How Vouchers builds it from the trip you typed

In iTravel's [travel voucher software](/travel-voucher-software) the itinerary is not written: it is issued from the trip. You type each service once, with its date, local time, place, confirmation number and a note for the guest, and the itinerary is drawn from those services.

- **Every day is kept**, free days included, each with its headline (arrival, on to the next city, a day at leisure, departure) and "Overnight at" the night's hotel. Cancelled services are left out; an unconfirmed one prints "Awaiting confirmation"; a hotel the traveller booked is marked "Booked by the traveller"; flights, typed or pasted from a booking record, sit on their days.
- **Times print as the local time where each service happens**, never converted. A transfer's line carries the flight and its time beside the pickup, the meeting point and private or shared; a tour's carries the option, the pickup time when pickup is included, and the party.
- **The summary tables come from the same services**: at a glance and arrivals and departures before them, where you are staying and tours and tickets after them, then the help block with your 24/7 line and any local assistance line you keep per destination.
- **A day's title and description** print as its headline and are remembered for the next trip there. Your words can be kept in other languages; a translation whose original you have since edited prints the original instead.
- **Each copy is issued in the language you pick for its reader**, from 32, with dates in words. A trip sold through a partner agency carries the agency's name and logo on the traveller's copy. No copy carries a price.
- **Eight itinerary layouts**, from a classic day list to a compact one-line-per-service sheet for operations. The trip checks warn about a pickup before a flight lands, a night with no hotel or a service typed twice; they never block you.
- **Change a service and the itinerary is marked "changed since issued"**; re-issuing keeps its number and adds a version. It goes out as a PDF, a phone-sized link, an email, one picture for the trip's WhatsApp group with no prices or brand, or in the trip pack with every voucher.

## Before the itinerary goes to the traveller

1. Every day is there, free days included, each closing on where they sleep.
2. Every time is local to where it happens, with "local time" where the zone changes.
3. Pickup times and flight times are two labelled times.
4. Meeting points are written for a stranger, with the driver's or guide's phone.
5. Private or shared, the vehicle, what to bring and what is included are on the line.
6. Confirmation numbers on what is confirmed; "awaiting confirmation" on the rest.
7. The traveller's own flights and hotels are shown and marked as theirs.
8. No prices or options left over from the quotation.
9. Dates in words, in the traveller's language; names as on the passports.
10. Your 24-hour line on the last page, with local lines and their hours.
11. Issued after the last change, with the old version replaced wherever you sent it.
