# Travel CRM software built around the trip, from first enquiry to handover

> A generic CRM keeps a name and a number. A travel enquiry is places, dates, a party with children’s ages and a budget, and the answer to it is a quotation priced day by day from your own rates. This CRM is built for that work, and it runs on its own.

## What a travel CRM holds that a generic one cannot

The deal is the trip: the places in order, exact dates or just a month and a number of nights, adults, children with their ages and infants, the budget for the party or per person, what they asked for (a package, a hotel only, a transfer) and the client’s own words, kept as written.

Every enquiry gets a reference your team can say on the phone. Its priority is worked out from the source, how soon they travel, the party size and the value, and scored again every night, because a trip eleven weeks out is warm today and urgent a fortnight later. Each deal has a sales owner and an operations owner.

## Enquiries that arrive on their own

Connect the places enquiries come from and each one opens a deal with a reference, an owner and a place on the board.

- **Your website form**, through an address of its own that you paste into the form. Changing the address is one tap.
- **Facebook, Instagram and Google Ads lead forms**, connected with your own accounts.
- **Your own WhatsApp Business number.** A stranger’s first message becomes an enquiry, and the thread sits on the deal with sent, delivered and read.
- **Your own mailbox**, connected read-only: a client’s reply to your quotation or your email lands on their deal, beside their WhatsApp messages. Switch on “New senders become leads” for a shared mailbox and a stranger’s email opens an enquiry too.
- **One person, one contact.** Someone who writes again through the same form or WhatsApp number while their enquiry is open (within 30 days) is added to that enquiry; a message through another channel finds the same contact by email or phone and opens a deal of its own.
- **Shared out fairly.** By default a new lead goes to the licensed seller given the fewest this week.
- **Silence has a number.** “3 days with no reply” sits on the card, and an enquiry left past your answer time is escalated.
- **A phone call** is typed on one page that asks “do we know them?” before a duplicate exists.

## A day-by-day quotation priced from your own rates

The builder is laid out as the trip: dated days, stays spanning their nights, days at leisure, and options such as hotel A or hotel B, each with its own total. Prices are per traveller type (adult, child with or without a bed, infant, single supplement), with cost beside sell on every line and the margin worked out, never typed. You set the markup, flat per traveller or a percentage, for the client’s copy and for a partner agency’s.

The rates are your own: seasons set once, hotels by room type, meal plan and occupancy, a stay across two seasons priced night by night, private transfers by the cheapest set of vehicles that seats the party, tours per person or per group with your own age bands. Costs are typed in the supplier’s currency and the rate used is kept.

## Sent, accepted, and frozen

Before it goes, the builder checks the quotation for more than forty things that lose bookings: a night with no hotel, no transfer on the arrival day, a hotel that does not say its meals, a line below cost, no date the price holds until. None of them blocks the send; your account decides what its quotations hold.

The client’s copy is drawn beside the builder as it will print. Email it in the client’s language, share its link or send it as a WhatsApp message. The client accepts on the link, choosing an option, ticking any optional extras and typing their name. A sent quotation never changes in place: a change is a new version under the same reference, and the earlier one stays readable. Cost and margin never reach the paper.

## The rest of the working day

The parts every CRM needs, shaped for the trade.

- **A pipeline per way you sell.** Trade, DMC and direct each have their own stages, which you can rename, and their own answer time.
- **Tasks** with a time and a reminder, judged in your agency’s own timezone, and a morning email of what is due.
- **Partner agencies and suppliers as companies**, with payment terms, the language their papers use and, for an agency, its own usual markup.
- **Follow-ups it makes itself**: a birthday, a passport running out, a year since the trip, a lost deal to retry. Each on or off.
- **Your team, and what each person sees**: their own work, their team’s or the whole account.
- **Import with a dry run** that never overwrites a contact you already have, an undo for 24 hours, and an export on every list.

## Works alone, joins up when you own more

On its own, the CRM needs no booking portal and no document product. If you also run Vouchers, a won deal goes to operations in one press, its travellers, rooming list and accepted quotation lines already on the trip. If you also run the booking portal, its enquiries and bookings arrive as deals, and a rate card can be priced from your portal product. Neither connection exists unless you own both sides.

## Questions

### Do I need the booking portal to use this CRM?

No. The CRM is sold on its own and works from enquiries that arrive, deals you type and contacts you import.

### Can I bring my existing client list?

Yes. Upload a CSV and the import shows the new people, the ones you already have (skipped, never overwritten) and any row it cannot take, before anything is saved. The wrong file can be undone for 24 hours.

### Does WhatsApp go through you?

No. You connect your own WhatsApp Business account, so the number clients see is yours and so is the conversation.

### What if the client wants a change after I have sent the quotation?

You make a new version. It keeps the reference, the earlier one is marked as replaced and stays readable, and the new paper goes out as before.

### Which currencies and languages does it handle?

A quotation is priced in the client’s currency from costs typed in each supplier’s own, and goes out in the client’s language. The workspace and its documents run in 32 languages.
