For group operators

Group travel software for fixed departures sold through agents

A group programme is a departure date with a seat count, rooms held at hotels, and several agencies who each want their share. The software’s job is to keep those numbers right while thirty agents book at once, and to tell you early when a departure is short.

A package is a programme with departures, not a price

Packages are a product type of their own, with their own pricing engine beside the ones for hotels, tours and transfers. Switch the Packages module on in your settings, and each package carries:

  • The programme. Its days and nights, a day-by-day itinerary, and its components: your own hotels, tours and transfers by reference, or written in your words. What was sold is frozen on the booking, so the voucher and itinerary print what the agent bought.
  • Departures. Fixed start dates, each with its seats or no cap, a stop-sale switch, a release period of its own or the package’s, and a guaranteed flag. A season’s worth is made at once by picking weekdays between two dates.
  • Prices per person by room. Seasons priced single, twin or double sharing, and triple; children by the age bands you set; an infant price, or none. Your contracted cost sits beside each price.
  • Upgrades and extras. One upgrade per booking, and extras priced per person or per booking.
  • Terms and a tester. A cancellation ladder counted from the departure and frozen on each booking, and a price tester that quotes a real booking before anything goes on sale.

Selling seats without selling the last one twice

Seats on a departure are counted under the booking lock, so two agents confirming the last two seats get one each, not three between them. An infant takes no seat. Agents can hold places for the hours you allow and confirm or let them lapse. A full departure can keep selling on request if you choose, and a package can also accept requests for any date it operates on; each request waits for your answer.

Not every group fits a shelf product. Switch on quote requests and an agent can send a group request from the portal. Your desk answers with a proposal built from your own products and priced for that agent’s tier and currency, and the agent accepts it into their cart in one step.

Room and seat blocks for your biggest partners

A block holds part of your stock for one partner agency, or for a price tier, for a season. Say you hold 20 Deluxe rooms a night at a hotel and give your largest partner 5 of them with a 14-day release. Until 14 days before each night those 5 are theirs and nobody else sees them. On the release day, whatever they have not sold goes back to your general stock, or back to the hotel if you set the block that way.

  • Your rules per block. The room type and optionally one rate plan, the nights, rooms a night, the release, whether the agency may also buy from the general pool, and whether it sees what is left.
  • Taken first, given back exactly. A partner’s sale uses its block before the pool, and a cancellation returns exactly what it took.
  • Seats as well as rooms. Seat blocks for tours work the same way, for a whole day or for one time slot.
  • Partners kept informed. A My allocations page for the agency’s admins, and a reminder before held rooms or seats go back, each off until you switch it on.
  • Pick-up. Pick-up per block and a report per agency, with a CSV export.

When a departure is short of its minimum

Set a minimum to run per product, per option or per day, judged a number of days before departure on the product’s own calendar; time slots on the same day are judged apart. It never cancels anything by itself. It sends a morning notice to the people who decide, and you choose whether it runs. Switch it on and the tour page and checkout can say guaranteed to run, or how many more travellers it needs.

Cancelling a whole departure shows a preview per booking and currency first. You choose a full refund or each booking’s own policy; the day is closed for sale, then every booking is cancelled through the path its channel uses, agency accounts credited and website travellers refunded through your payment provider. The same desk emails everyone on a departure when you only need to tell them something.

Departure day: lists, rooming and check-in

The paperwork of a group is the same names arranged three ways. Each list comes from the bookings, never retyped.

  • The guide’s and driver’s list. Per departure or time slot, stop by stop, with an expiring link for a guide who has no login.
  • Rooming lists. Per hotel and date range, room by room with the party and board, and never a price.
  • Check-in. At the meeting point by scan, code or roll call; a pass is used once.
  • Your own questions. Asked per product at checkout — a dietary need, say, or a name as printed in a passport — with the answers on the booking and, where you mark them, on the supplier’s copy.
  • No-shows. Recorded per tour, part of a party included, with the money effect shown before you confirm.

Group prices, and a portal that looks the part

A group price is a promotion you define, not a second price list: a percentage off from a number of guests, or one free place for every so many paying, taken from adult places first. Your agency price tiers then apply once, after the engine has priced the booking.

Two of the ten portal templates are made for this trade: Groups & MICE for group departures and incentive travel, and Faith for umrah, hajj and pilgrimage operators.

Questions

Asked on every first call

Does a package price itself from the hotels and tours inside it?

No. You set the package’s own per-person prices by season and room occupancy. The components describe the programme and print on the documents; they are not added up into the price.

Will the system cancel a departure that misses its minimum?

Never. It tells you on the day you chose, and the decision stays yours.

Can travellers book a package on our own website?

The package page on your website shows the programme and its next departures and takes an enquiry. Agents book packages in the portal.

Is this an add-on?

No. Packages, departures and blocks are part of the Portal plan. Packages is a module you switch on in your settings.
