The structure every hotel contract already has
Nothing here is invented. It is what is written in the contract you signed, expressed once instead of flattened into a grid and re-entered every season.
- Room types with a real maximum occupancy and child limit — from the contract, not from the hotel’s website.
- Rate plans — room only, bed & breakfast, half board — each carrying its own cancellation rule, minimum stay and booking window.
- Seasons with prices per occupancy: single, double, triple, extra bed, child. Not one rate with fractions applied.
- Availability per night: allotment or freesale, plus stop-sell, consumed under lock at the moment of booking.
Overlapping seasons resolve one way, always
Contracts routinely put a peak period inside a general one. Without a single unambiguous rule you will quote peak rates in low season, or worse, the reverse — and you will find out from an agent.
The rule is: the most specific covering period wins, decided once, everywhere. Day-of-week restrictions sit on the season, so a weekend rate is a season rather than a special case bolted on beside one.
Supplements, modelled rather than buried
Compulsory gala dinners, city taxes and peak surcharges are priced per person, per room, per night or per stay — and which one it is changes the total materially. Folding them into the rate makes the number impossible to explain when an agent queries it, so they stay separate and appear on the breakdown.
A price tester, before an agent finds the mistake
Quote a real stay — room, plan, dates, rooms — through the same engine that will charge it, on a draft nobody can see yet, with the contracted cost and the margin beside the agent’s price. And a publish gate that refuses to make a hotel live until it could actually be quoted.

Asked on every first call
Can a room be sold on two different rate plans?
Yes, and it usually should be. The same room on room-only and on bed & breakfast is two products commercially — different price, different cancellation rule, different minimum stay.
How are three nights counted?
A stay from the 10th to the 13th is three nights: the 10th, 11th and 12th. Check-out day is excluded, everywhere, which is the single most common off-by-one in travel systems.
What happens when allotment runs out mid-booking?
The count is checked and consumed inside the transaction that creates the booking, under a lock, so the second agent is refused rather than oversold. Cancelling releases it.
Can I load a contract before it goes on sale?
Yes — build it as a draft, test real prices through the engine, and publish when it is ready. Publishing is refused while anything essential is missing.
