Vouchers and itineraries
Travel voucher software: every voucher and itinerary from the trip you type once
No booking system needed. Type the trip once, service by service, and every paper comes from it: a voucher per service, the itinerary, the whole trip pack. Each one is in your brand, in the reader’s language, numbered your way, with a QR a hotel desk can check.
Works alone: the trip is what you type
A trip is the services you booked, typed in one at a time, each with a status (requested, confirmed or cancelled), the supplier’s confirmation number, your supplier reference, a note for the guest that prints and an internal note that never leaves the workspace. The first question is who the booking is for: a direct client, a travel agency or a company. Travellers are named once, by pasting a list, and printed on every paper.
Every service form starts from your own directory. Pick the hotel, the transfer route or the tour once and its address, phone, timezone, terms and supplier fill the form; a new name typed on a trip is remembered for the next one. Copy a trip to new dates, or keep templates for the programmes you sell often.
A document for each kind of service
Each kind of service prints the facts its reader acts on, not one generic form.
- Hotels: each room’s type, meal plan, who sleeps in it with the children’s ages, a confirmation number per room, check-in and check-out times and special requests.
- Transfers, tours and tickets: pick-up time and place, the flight it meets, private or shared, the driver or guide with a phone number, and ticket codes printed as tickets.
- Everything else the trade books: flights (paste a PNR), rail, ferry, cruise, car hire, restaurant, guide, visa, insurance with its 24/7 assistance line, and SIM or eSIM with the activation code as a QR.
- For the whole trip: the itinerary day by day, one trip voucher, and the trip pack, with the itinerary and every voucher as one PDF and one link.
- For suppliers: a hotel’s rooming list and a transfer’s passenger manifest, emailed with the PDF, and an airport placard with the guest’s name.
Three copies, three readers
One voucher number, three copies. The traveller’s copy tells them what to show and whom to call. The supplier’s copy carries no price and none of the guest’s contact details, says “Booked and payable by” your company with extras payable by the guest, and is marked as an amendment or a cancellation when it is issued again after a change. A partner agency gets a trade copy, and the traveller copies of a trip booked through it carry the agency’s name and logo.
A service nobody has confirmed prints “Awaiting confirmation”: it is never blocked, and it never passes for confirmed. Your cost and margin are not on any copy.
Your brand, your numbering
Your logo, colour, 24/7 line, contacts, legal details and licence number go on every paper, in eight voucher layouts and eight itinerary layouts, chosen from previews of your own latest documents. Your terms are written once in a library and frozen into each paper they belong to.
Numbering follows your rules: a prefix per document type, a series that restarts each year or never, and a start number that continues from your old system. A number once printed is never reused. Issuing again keeps the number and adds a version, and the trip shows which papers have changed since they were issued.
Checked by QR, read in any language
Every document carries a QR code. A hotel desk scans it and sees whether the booking is valid, cancelled or unknown, with the reference and the lead guest’s name and nothing more: no prices, no contact details. The page answers in the scanner’s own language, and a desk without the QR can look the booking up by reference and surname.
Each copy is issued in the language of the person who reads it, in any of 32 languages, with Arabic, Hebrew, Persian and Urdu printed right to left. Dates print in words, never as 03/04, and every amount carries its currency code.
The traveller’s page on their phone
Send the guest copy as a link that needs no login and fits a phone, as a ready WhatsApp message, or by email with the PDF. The trip link opens a live page: your 24/7 line first, the trip day by day with today marked, each service at its local time, the driver or guide with a number to call, and every voucher to open. It keeps working without signal once it has been opened, can be withdrawn, and stops a set time after the trip, 90 days unless you choose another.
Add more when you want it: switch on a route map and the weather for each day, write packing lists and good-to-know notes per country, and switch on a chat with your team and alerts on the traveller’s phone when something changes.
Questions
Asked on every first call
Do I need a booking system or the portal to use it?
No. Vouchers is sold on its own and every document comes from what you type. If you also run the CRM, a won deal arrives as the trip with its travellers and accepted services already on it.
Can a hotel check that my voucher is genuine?
Yes. The QR on every document opens a page that says valid, cancelled or unknown, with the reference and lead guest’s name, in the language of whoever scans it.
Can I keep my current voucher numbers?
Yes. Set a prefix per document type and the number to continue from, and the new series carries on where your old system stopped.
Does the traveller need to install anything?
No. The trip is a link that opens in the phone’s browser and keeps working without signal after the first visit.
